Entering Regular Work Hours
Input the starting and ending times for each work period. Feel free to use a colon between hours and minutes, although it's not mandatory. The calculator recognizes entries like 845 as 8:45 for your convenience.
Inputting Regular Pay Rate
Regular Pay Rate refers to the standard hourly wage or salary that an employee receives for regular hours worked, typically during their standard or scheduled work hours. It is the basic rate of pay agreed upon between the employer and the employee for normal, non-overtime work.
The regular pay rate in the United States varies widely and is dependent on factors such as the type of work, industry, geographic location, and individual employer policies. The federal minimum wage, as of my last knowledge update in January 2022, is $7.25 per hour. However, many states and cities have their own minimum wage laws, and the rate can be higher than the federal minimum.
Please Noted: In U.S. labor law, the Regular Pay Rate is a key concept in the calculation of overtime pay for non-exempt employees. The regular rate is the hourly rate at which an employee is employed and is the basis for determining the overtime rate. According to the Fair Labor Standards Act (FLSA), non-exempt employees are entitled to receive overtime pay at a rate of at least one and a half times their regular rate for hours worked beyond 40 in a workweek.
Managing Overtime and Breaks
Breaks is an "unpaid break" refering to a designated period of time during which an employee is not working and not receiving compensation. During unpaid breaks, employees are typically free to use the time as they choose, whether for rest, meals, or personal activities.

After you input time hours, you can

Automatic Summation of Work Hours
- Convert start time and end time to the 24-hour format by adding 12 hours to the PM times. E.g., 4:30 PM = 4:30 + 12:00 = 16:30 .
- Subtract the start time from the end time. E.g., 16:30 - 9:00 = 7:30 .
- Convert time format of hours and minutes to decimals: E.g., convert 8:30 to decimal form 8.5 hours. You can do this by dividing the minutes worked by 60 and adding the result to the whole hours.
- If your working time includes an unpaid break, subtract it from the time obtained in the previous step. E.g., 8:30 - 1:00 = 7:30 .
Repeat steps 1-3 for every day you want to include and sum them up. E.g., if you'd like to find your weekly hours and your schedule is the same on each day:
Total Weekly Hours =7.5 + 7.5 + 7.5 + 7.5 + 7.5 = 37.5
Keep in mind that the process may vary if you have breaks or if your workweek doesn't align with the standard Monday to Sunday format. Additionally, always refer to your company's policies and labor laws for any specific guidelines on calculating work hours and overtime.
Check for Overtime
If your workweek exceeds 40 hours and you are eligible for overtime, calculate the overtime hours separately. Overtime is typically paid at a rate of 1.5 times the regular pay rate.
- If your Total Weekly Hours < = 40, Overtime =0
- If your Total Weekly Hours > 40, Overtime = Total Weekly Hours - 40 ; E.g., Total Weekly Hours = 42.5, Overtime: 42.5 - 40 = 2.5.

Calculating gross pay involves determining the total earnings an employee receives before deductions. Here's a step-by-step guide:
If you do not have overtime:
Regular Gross Pay = Hours Worked * Regular Pay Rate; E.g., Regular Gross Pay = 38 * $7.25 = $275.5.
Gross Pay = Regular Gross Pay =$275.5.
If you include overtime (if applicable): For hours worked beyond the standard workweek (usually 40 hours), calculate overtime pay at a rate of 1.5 times the regular hourly rate.
Overtime Pay = Overtime * 1.5 * Regular Pay Rate; E.g., Overtime Pay = 2.5 * 1.5 * $7.25 = 27.1875.
Gross Pay = Regular Gross Pay +Overtime Pay;E.g.,Gross Pay = 40 * $7.25 + $27.1875= 317.1875.
